Procedures and approvals
Run a quality, project, assembly or HR procedure step by step, with approvals tracked and archived. Edit or delete a run when it was set up wrongly.
Open Procedures
The page lists the procedure runs you can see. Filter by Active, All or Approval needed. Each run shows how many steps are complete.
This page needs a free account.
Start a procedure
Press Start a procedure. Select a procedure from the list, for example Document Control, Risk Management, Component Acceptance Testing or Staff Onboarding. Give the run a title and, if it is about a person, choose the subject.
Assign roles for this run
Users with a matching global permission can act on steps. Under Assign roles for this run you can choose specific people for this run only. Leave it on Uses global permissions to keep the defaults. Press Start run.
Complete the steps
Open the run. On a step you are allowed to do, add notes and the document reference if there is one, then press Mark step complete. A step you are not allowed to do tells you which permission it needs.
Approve or reject at a gate
A GATE step needs an approval. If your approval is required, you see Approve and Reject with an optional comment. Complete and request approval sends the run to the approver.
Edit or delete a procedure
On the page of a run, an administrator, or the person who started it while it is still in progress, sees Edit and Delete. Edit changes the run title, the subject and the people assigned to each role. The roles of a finished run stay as they are. Delete removes the run with its steps, notes and approvals for good, after you confirm.
Change a template
Administrators and holders of the Procedure Administrator permission see Templates on the Procedures page. Open a template with Edit. Change the title, the category and the description, rename or reorder the steps, change who does each one, set a document code, and tick Approval gate with the role that approves. Procedures already started keep the steps they were started with, so your change applies from the next one.
Create your own template
Press New template. You can start from a blank template or copy an existing one, then give it a code such as QP-010. Add the steps with Add a step. Archive a template to stop offering it, and restore it later. A template of your own that no procedure used can be deleted. An edited built in template can go Back to the original.
Print the record
Press Print to get a printable record of the run with who did what and who approved.
