Proposals: from a description to a price

Describe the client and the job. The assistant chooses the lines of the rate card and counts them, the price is computed from the rate card, you check it, and the accountant or a sales officer sends it.

  1. Start from the person or the organisation

Open the page in the CRM and press Prepare a proposal. Write what the client is and what they want, as you would to a colleague: the audience, the number of people, the place, the days. Choose whether the client is in Cameroon (FCFA, with VAT) or abroad (euro, without VAT), and the language.

This page needs a free account.

  2. Check the lines

The assistant proposes the lines (days of trainers, travel, nights, the room, the material) and writes every assumption it made, for example the number of trainers. Change a quantity, remove a line, add one from the rate card. The page saves by itself. The assistant never sets a price: it only counts.

  3. People, material and equipment

Under People and labour, pick a role, then say how many people and how many days each: 2 people for 5 days is 10 days. The people can be NMD staff or an outside expert or company: the account of each role in Pricing says which (SYSCOHADA: 66 is the people of NMD, 632 or 637 the others), and the client never sees it. Under Material and equipment to buy, pick what the job needs from the list kept in Pricing, which has the description, the supplier (NMD for our own products) and the price of each. What is bought carries its handling (transport, customs, bank charges), then the running costs, the contingency and the margin.

  4. The price

The price is built from the costs in the rate card, plus running costs, a contingency and a margin, then VAT for a client in Cameroon. You see prices only. The accountant and the administrators also see what it costs NMD and what NMD keeps.

  5. Send it

The accountant or a sales officer presses Send to the client. It goes out from the billing mailbox, with a link to a page where the client reads it, prints it or saves it as a PDF, and accepts it with their name and a code sent to their email. It cannot be sent while a line has no figure, a figure was not reviewed, or the percentages were not confirmed: the page says what is missing.

  6. After it is sent

You are told when the client opens it, and when they accept. A follow up call is planned for you. An accepted proposal cannot change.

Good to know
  • A client who needs nothing from the rate card can still have a proposal: the accountant adds a special line with its cost.
